Memorandum to Annual Reporting Contacts: Annual Federal Agency Records Management Reporting Tool Now Open

The Federal Agency Records Management reporting period is now open! The deadline to submit the required reports is March 8, 2024

Agencies will be required to submit three reports and one additional spreadsheet to help NARA plan for future accessioning, preserving and providing access to born-digital records:

  • Annual Records Management Self-Assessment (RMSA) submitted via the survey tool
  • Federal Electronic Records and Email Management Maturity Model (FEREM) submitted via the survey tool
  • Senior Agency Official for Records Management (SAORM) Annual Report submitted separately via email to rmselfassessment@nara.gov using the NARA-provided template. 
  • Inventory of both permanent and unscheduled electronic records (other than Capstone email) over 5 terabytes submitted separately via email to rmselfassessment@nara.gov using the Permanent and Unscheduled Electronic Records over 5 TB spreadsheet.


SURVEY LINKS HAVE GONE OUT for the RMSA and FEREM

As someone designated to respond to the 2023 Annual Federal Agency Records Management Reporting, you should have received two separate survey links from NARA@qualtrics-survey.com. 

If you did not receive these survey links or if you received the links and are no longer responsible for completing the RMSA and/or FEREM for your agency, please contact rmselfassessment@nara.gov as soon as possible. 


QUESTIONNAIRES ARE ONLINE

For your convenience, the RMSA and FEREM questionnaires have been posted to our website for use in gathering information. Please do not return these forms to NARA as your response must be recorded in the survey tool. 


SURVEY TOOL DEADLINE

You have until 11:59 pm ET Friday, March 8, 2024, to complete the RMSA and the FEREM. We will be unable to accept submissions after this date. 

 

TRANSPARENCY

Your responses to the RMSA may be subject to public release pursuant to FOIA. However, we will not release responses that contain detailed descriptions of agency activities without consulting your agency. Your responses to the FEREM and SAORM reports will be publicly released on our website, so please ensure the data your agency provides is publicly releasable. 

 

REPORT VALIDATION

As in previous years, we will be conducting a validation process. Your agency may be selected at random to provide additional documentation and/or take part in interviews to discuss your records management program activities.
