Memorandum to Federal Agency Contacts: Revision of form NA-1005, Verification for Implementing GRS 6.1, Email Managed under a Capstone Approach 

We have recently updated the form NA-1005, Verification for Implementing GRS 6.1, Email Managed under a Capstone Approach.   

All the changes are on the "General Information" tab and include the removal of "declassification review" as a cutoff option and revision of the transfer instructions to include declassification review (for classified email) as an additional transfer trigger. This will allow agencies to select a single transfer instruction to accommodate both unclassified and classified records. For example, an agency will be able to indicate they will transfer unclassified email 15 years after cutoff, but classified email after declassification review, which is typically at 25 years. 

Agencies with approved forms do not need to resubmit, but new submissions will require the updated form. As a reminder, information on when resubmission is appropriate may be found in the FAQs for the GRS 6.1, specifically FAQs 38 through 42.
