Memorandum to Federal Agency Contacts: General Records Schedule Transmittal 34 and Updates to GRS FAQs

I am pleased to announce the publication of General Records Schedule (GRS) Transmittal 34. It is now available on our website at https://www.archives.gov/records-mgmt/grs.html

This transmittal includes one new schedule and revisions to one previously issued schedule:
 
          GRS 4.5, Digitizing Records (NEW)
          GRS 5.2, Transitory and Intermediary Records (REVISED)


It also removes items in three schedules that are now superseded:

          GRS 4.1, Records Management Records (item 050 superseded by GRS 4.5.021)
          GRS 4.2, Information Access and Protection Records (items 010 and 130 superseded by GRS 5.2.010)
          GRS 5.4, Facility, Equipment, Vehicle, Property, and Supply Records (item 071 superseded by GRS 5.2.010)

Along with this transmittal we are also issuing the following Frequently Asked Questions (FAQs):

          FAQs for GRS 3.2, Information Systems Security Records
          FAQs for GRS 4.1, Records Management Records
          FAQs for GRS 5.2, Transitory and Intermediary Records

The FAQs for GRS 4.5, Digitizing Records, are forthcoming.

An updated GRS CSV file is also available on our machine-implementable GRS website

Agency responsibilities:

Agency Records Officers must disseminate the revised GRS within their agencies no later than December 23, 2023. If your agency intends to use agency-specific schedule items instead of  any    new or revised items issued in this transmittal, you must inform us at GRS_Team@nara.gov by October 22, 2023.You will need to provide the agency-specific schedule and item numbers as       well as the related GRS items. If you require more time to submit a GRS notification, please email the GRS Team prior to the due date. Agencies wishing to use new agency-specific schedule items for previously issued GRS items must submit a new schedule requesting a deviation from the GRS.
