MEMORANDUM TO FEDERAL AGENCY RECORDS OFFICERS: Draft General Records Schedules for Agency Review
NARA’s General Records Schedule (GRS) Team invites all Federal agencies to participate in the review process for three new or revised GRS. These GRS include new and revised items for records related to employee health and safety during the pandemic as well as new and revised items related to the forthcoming digitizing records regulations. The following draft GRS items are attached to this email:
GRS 2.7: Employee Health and Safety Records (REVISED)
GRS 4.5: Digitizing Records (NEW)
GRS 5.2: Transitory and Intermediary Records (REVISED)
This draft is being sent to you before publication in the Federal Register. We would like to hear from agencies first so that what is eventually published in the Federal Register already has your approval as our stakeholders.
We have learned that we receive the most useful information from agency subject matter experts (SMEs)—agency staff working in functions whose records the schedules describe. Please forward these schedule drafts to your agency SMEs. Their feedback will be invaluable.
Their review - and yours - should focus on these questions:
- Are records correctly and completely described?
- Are retention periods too long, too short, or just right?
- Are items missing that should be included?
- Are items present that should be deleted?
Please use the attached comment forms to submit comments. We will accept comments through April 23, 2021. Please send your comments to GRS_Team@nara.gov. If you have any issues with the attachments below, please reach out to the GRS Team.
We appreciate you and your agency staff taking the time to review these drafts and provide comments.
