 MEMORANDUM TO FEDERAL AGENCY CONTACTS: Updating Agency Records Officer Designations

This serves as a reminder that Agencies must submit designations of Agency Records Officers with their contact information to NARA when they are appointed and keep this information up-to-date when new appointments or other changes are made.  Additionally, updates should be made to include any positions that are vacant or for those acting in an interim capacity.

We are sending this reminder because NARA staff, agency staff, and stakeholders rely on this information to support important work related to records management and public access to government information.  Submission of this information by agencies to NARA is required by 36 CFR 1220.34. Please consult https://www.archives.gov/records-mgmt/agency for your agency’s most recent records officer designation.

What is the process for submitting the Agency Records Officer designations?

The Agency Records Officer designation should be submitted in writing by the Senior Agency Officer for Records Management (SAORM) to the Chief Records Officer for the U.S. Government. New designations should be submitted either via a letter or email from the SAORM (or email from other designated agency staff with attachment of signed letter) to the RO.Updates@nara.gov mailbox. Alternatively, letters may be mailed to:

       National Archives and Records Administration
       Chief Records Officer for the U.S. Government
       Suite 2100, 8601 Adelphi Road, College Park, MD 20740

All updates to contact information for previously designated records officers must be sent via email to RO.Updates@nara.gov. Updates are accepted from the records officer and do not need to be transmitted by the SAORM. For more information on this process, please refer to

  Agencies must include the following information for the Agency Records Officer designation:

  • Name of Agency Records Officer
  • Department Name / Office Name
  • Mailing Address
  • Email Address
  • Office Telephone Number
