COVID-19 Standard (S1) Storage Increase

June 30, 2020

To Our Valued Customers,

The Federal Records Centers Program is initiating our Phase 1 reopening plans which include preparing the centers for a safe return of staff. Once a facility enters Phase 1, we expect to be limited to 10-20% of staff. In Phase 2 that number will increase to 25-50%, and we will be limited to no more than 50% in Phase 3. Even as we begin to reopen, operations may be curtailed due to ill or isolated staff, and facilities may need to be closed temporarily for cleaning.

Our preparations also include facility-related activities such as ensuring that we have adequate supplies of personal protective equipment and putting enhanced cleaning contracts in place prior to re-opening. We will also implement staff-related changes such as social distancing and contact tracing procedures.

As you know, the Federal Records Centers Program is a full-cost recovery revolving fund. We are incurring unplanned expenses related to the COVID-19 pandemic as we prepare to re-open the records centers. We find it necessary to implement a $0.05 per box surcharge on your Standard (S1) storage effective July 1, 2020, to help recover these costs. We have not had an S1 storage increase since 2018.

We hope you understand that we are required by law to recover our costs and we appreciate your patience as we move to safely open the Federal Records Centers.

As always, we appreciate hearing from you and look forward to continuing our relationship as we build on our shared commitment to Federal records management.

Should you have any questions or concerns, your account manager is available to assist.

Sincerely,

Stefanie Hutchins
Acting Director
